How UCaaS is Priced
UCaaS (Unified Communications as a Service) pricing typically follows a per-seat, per-month model. Here's what you need to understand:
- Named Users: Most vendors charge per user account, whether they're on the phone that minute or not. This is the standard model.
- Concurrent Users: Some vendors offer concurrent-user licenses (fewer licenses than employees), but this is less common and typically more expensive per concurrent seat.
- Bundled Features: Vendors often bundle voice, messaging, and video in their mid-tier plans. "Advanced" tiers add call recording, advanced analytics, and integrations.
- Volume Discounts: Most platforms offer tiered discounts: 50+ seats (10–15% off), 100+ (15–25% off), 500+ (25–35% off). Always ask.
What's Not Included in the Per-Seat Price
Before you finalize a quote, ensure you understand these add-on costs:
- DID Numbers: Direct Inward Dial phone numbers typically cost $1–3 per number per month, depending on the area code.
- Toll-Free Minutes: Calls to toll-free numbers often have per-minute charges (1–5¢) on top of your plan, especially if you're a heavy call center.
- International Calling Bundles: Monthly allowances for international calling ($10–50/user) are common; overage rates apply. Heavy users pay more.
- Call Recording Storage: Unlimited recording storage is rare; expect $5–15/user/month for this feature or overage charges per gigabyte.
- Contact Center Agents: If you need a contact center module (IVR, queues, recording), agent seats are priced separately at $75–175/agent/month (much higher than standard users).
- E911 per Location: Enhanced 911 service adds $2–5 per location per month to ensure correct emergency dispatch.
